Finish Line - Wenderholm

Require: 12 adult staff and approx 3 youth plus the stage manager.

Stage Manager: 1 person (approx 12 hours work prior to event, 4 hours Sat setup, plus Sunday)

3 weeks prior to the event. Contact allocated staff, confirm attendance and assign duties for the day and delegate where possible these tasks

  • Checking the gear list. Some utensils, cleaning gear, hot drinks and sauce items will be in Scout cupboards in the hall.

  • Food shopping

  • Getting a financial float

  • Ensure BBQ is operational and with a full gas bottle.

  • Loading the trailer with the gear on Sat

  • Taking the trailer to Wenderholm Sat PM setup

Contact Wenderholm Duty Ranger on (09) 426-1200 to confirm the gate code for access to the grassed area.


On Saturday

9am - Team of 2, at storage shed. Load gear on trailer for afternoon setup. Approx 1 hour

4pm - Team of 6 min, at Wenderholm. to set up tents, marquees and finish line signage. Approx 2 hours


On Sunday

9am to 10:30 am. Team of 2, to do final setup tables, bunting and BBQ. Also to ensure corporate teams do not encroach on reserved space.

Early team (9:30am-12pm) 3 people to run the barbecue and drink station (Start time plus 2 hours) Could involve older children. An adult to supervise the dilution of the electrolyte drink.

Later Team (12pm -2:30pm) 3 people to run the barbecue and drink station. And to pack up and return gear to storage

Kayak marshals: Team of 3 min (prefer two shifts of 3, would be 10am-12pm and 12pm-2pm) assist kayak landing and marshal the clearing of kayaks from the beach area. 10:00 AM (Start time plus 2.5 hours) to approximately 2:00 PM. This can be quite physical work, expect to get wet up to your knees, wear shoes that can get muddy to protect your feet and a secure hat and sunglasses for the glare off the water.

Everybody to assist with pack up of gear at approx 2pm

Please wear official Adventure Plus Purple T Shirt, (if you have your own please bring it) and return to stage mgr for cleaning and reuse next year

  • 1 Marquee with extra heavy pegs

  • 4 Trestles (1 for spot prizes, one for serving at BBQ, one for food prep behind BBQ, 1 for drinks table)

  • 3 Scout Flag/Banners (1 may be at Hall)

  • 1 Finish chute Bunting, pigtail standards

  • 1 Finish Signs & Frames and heavy pegs

  • 2 Big green grass mats to protect water edge

  • 1 Barbecues

  • Small gas stove and gas bottle (if hot drinks are being sold)

  • Long Rope length to reserve parking

  • 6 purple tee shirts, 4 High Vis Vests

Big set up done at Wenderholm the day before the race.

Note: If a full setup is not done on the Saturday (because of other booking) Sunday set up start time becomes race start time.

Items required for the BBQ Fundraising tent (for 300 contestants)

  • 22kg Sausages (left overs are frozen for use at Christmas Party)

  • 8kg Sack Onions

  • 18 loaves White Bread

  • Various fizzy drinks (Cans: 24 Coke, 24 Lemonade, and 24 Coke Zero and 48 mixed Kids Fizz bottles)

  • 1 ltr Cookng oil, 500gms Mustard and 2L Tomato Sauce, 400 serviettes,

  • BIG disposable gloves, hand sanitizer, wipe cloths, bleach spray

  • BBQ Tongs, Fish slice, 2 x sharp knives, 2 x chopping boards

  • 2 x big bowls, (plus any extra secret ingredients for corn fritters, easily used 4 cans could probably do 8 cans depending on the cold weather, Flour, BP, eggs, salt?)

  • large tin foil tray (2nd one for lid) for onions when cooked

  • Power cables and multi box

  • medium-big pot, to heat water if hot drinks are being sold

  • Tea, Coffee, Cups, 2Ltrs Milk

  • 4x Ice, 2 x Large Chilli bins

  • 3 Rubbish sacks,

  • 2 food cover sheets

  • Cash float from the treasurer $200 in ($50 of 50cents, $50 of $1coins and $100 of $2coins), ice cream container

  • Consider Eftpos as well

  • Laminated signs for prices for BBQ pricing

Within the Park

Obey park speed restrictions

Do not block access to the boat ramp and respect public rights to use the park

No Dogs are allowed within the park. It’s a fun atmosphere, so bring the family and have a picnic. Remember to bring your own lunch, chairs, togs, towel, sunblock, hats etc


Recommendations for the Stage Manager

At least 3 weeks prior to the event, have the names, cell phones and email addresses of your staff. Make contact with them and re-direct them to this web page. This enables folk to manage their work commitments, get babysitters or what have you, and you will get a better turnout of volunteers. Let the race director know early if you need more staff

Have 6 folk (two teams of 3) for kayak marshaling.

Have 6 folk (two teams of 3 adults plus their kids) to run the BBQ tent and electrolyte drinks table.

If we don't have two teams the day is too long and pack-up gets messy.

At least 1 week prior to the event the gear list must be checked and ALL gear located. After the gear is setup on Sat, the trailer can be left on the grassed area behind the locked gates as the park gates are not locked until 9 PM

Setup on the Saturday is crucial if you have an inexperienced team. Need at least 6 people to put up the marquee, senior Scouts or Venturers are suitable. The more that can be done in advance (tables cleaned, onions cut, bread and tissues interlaced) the later people can arrive on Sunday morning

The rescue tender launches from Wenderholm approx 9 AM (start time plus 1.5 hours) to travel upstream to Puhoi. And is finished when last competitor out of the water. First competitors out of the water at approx' start time plus 3 hours then spread out over another 3 hours. Make sure you get this persons cellphone number

Only do hot drinks if weather is predicted to be cold or wet. Very few are sold for the hassle of all the gear required. Review selling price of items, perhaps change from kids fizz to better quality juice, or water bottles. Reprint price lists x 2

If it is raining the Easy-up's can come from the start line, to be used in front of the marquee to keep the rain off

Race packs and prizes are sorted by the registration/start team and principle sponsor

Timing and results are sorted by timing coordinator, and principle sponsor

Principle sponsor (Rob Howarth) currently (2018) supplies sound system and generator
